How it works
The engine of Managed Flows is the same for every organisation: it shows forms, keeps cases, tracks steps and sends messages. The configuration is yours. A new kind of work is therefore a matter of setting it up, not building it.
Every work item becomes a case with its own number, data on tabs, documents, notes and a history of every change. Fields only appear when they matter.
A route through steps. Each step defines whose turn it is, what needs checking and which outcomes are possible. Rejecting sends the case back to the step before.
Rules send a message when a case is created, when it changes or when a date approaches. To a team, or to the person named in the case. Nobody has to remember deadlines.
Lists with your own columns and filters, a dashboard with key figures per person or team, and export to Excel for further analysis.
Getting started
Together we go through how you work: what comes in, who handles it, which checks are needed and which deadlines apply.
You get your own environment with your process in it: case, steps, notifications and permissions. If an existing configuration fits, such as the one for grants, you start from that. If you like, we also build the forms on your website.
Your administrators adjust fields, steps and notifications themselves and add new processes. We keep the technology running and prepare new versions for you.

A complete configuration for the grant process, proven in practice. Applications arrive straight from your online application form, every application becomes a case, and the system watches the deadlines up to the final settlement.
Secure and under your control
Every customer gets its own installation with its own database and its own address, in a data centre in the Netherlands. Nothing is shared with other customers.
Sign in with an authenticator app or a code by email. After repeated failed attempts an account is locked for a while.
You decide per role who may see and do what. Sensitive fields, such as a national identification number, are hidden from anyone without the right to see them.
Every change to a case is in its history, with who and when. Workflow steps and integration calls are recorded too.
We keep developing the product and prepare new versions. You decide when an update is installed. A backup is made automatically beforehand.
A secure API for other systems, applications that arrive straight from online forms, and import of existing lists from Excel.

Managed Flows is built by the Shared Dev B.V. team, led by founder Najim el Mouridi. He has worked in IT since 1999 and has more than 25 years of experience in software architecture and process automation. Shared Dev is two years old and developed Managed Flows in that time.
